NamaCor covers the general contractor's whole loop, from the quote to the paid invoice, and hands each step to Xero correctly coded. Here is what is in the box.
Sell
Quotes, change orders and the client's approval
The accepted quote is the budget. Everything after it is a numbered change order. The client approves online and the office is notified.
Line-item quotes from a catalog
Build quotes from your price catalog and quote templates, or start a new quote from a template. Quotes are numbered on creation (S-2026-0001), rendered as a PDF and emailed from the app with a public link.
Numbered change orders
CO-01, CO-02 per project. An accepted change order revises the project budget and the revised contract in Finances, and appears in the client portal for approval.
Approvals with a trail
The client types their name, ticks that they have read the document, and approves or declines with a reason. Name, date and IP address are stored. The office receives an email.
Documents that open without an account
Every emailed quote, change order or invoice carries a link that opens without signing in, valid 180 days, extended on each send, revocable. From there the client can request their portal access in one click.
Buy
Supplier bills, purchase orders and costs
A cost never exists without a project. The inbox makes sure every bill is read, coded and sent to Xero with its receipt.
Bills read by AI
Suppliers or you forward bills to a dedicated address, or drop files in. Vendor, number, dates, subtotal, GST, QST, total and line items are read. The form is pre-filled with the project and cost code suggested from your past coding.
A queue for what is not coded yet
Read now, code later. Documents waiting for a project sit in a dedicated tab where the office assigns project and cost code in series. Possible duplicates (same vendor and number, or same total and date) are flagged.
One bill, several projects
Split a document by amount or by line item across projects and cost codes. GST and QST are prorated. Xero receives one supplier bill with one line per cost, each carrying its account and its project's tracking option.
Commitments you can see
Issue a purchase order to a supplier, receive bills against it, and see the open commitment in the project's Finances.
Costs marked for rebilling
Mark a cost rebillable with its own markup. When you invoice, it becomes a disbursement line and a markup line, coded to the right revenue accounts, with the receipt attached to the invoice.
Work
Timesheets, daily log, schedule and crew planning
The field app is simple on purpose. Hours are approved once, costed once, and sent to Xero Projects once.
Quarter-hour entries, approved once
One entry per worker, project, cost code and day, in 0.25 h steps. The office approves; the labour cost is frozen at the worker's internal rate that day and the entry is pushed to Xero Projects. Corrections by the owner update or delete the Xero entry, never leaving an orphan.
The site journal
Notes and photos per project and day. Entries marked visible appear in the client portal with their photos.
Gantt you can drag
Project schedule with tasks you move or stretch by dragging. The field sees the schedule and the crew planned for the next two weeks.
Weekly board by employee or by project
Assignments with planned hours or start time, absences (vacation, sick, training), conflict warnings for overlaps and days over ten hours, copy last week, print.
To-dos and project files
To-dos assigned to a member with due date and priority. Project files by category (plans, permits, contracts, photos, reports) with an option to share with the client.
Keeps working without signal
Hours and log entries are stored on the device and replayed when the network returns. Photos wait for the network.
Bill
Progress invoicing that matches Xero to the cent
Invoices are numbered when issued, locked once issued, and attached to Xero with their PDF and their receipts.
Progress and milestone billing
Invoice by percentage of the revised contract or by milestone. Drafts do not consume a number; issued invoices get F-2026-0001 and are locked.
Time and materials
Approved, unbilled hours are listed by cost code at the code's charge rate, editable per line. The PDF adds an annex detailing the billed hours; the entries are marked billed and released if the invoice is voided.
Receipts behind the invoice
PDF receipts of rebilled costs are merged behind the invoice; images go in an annex. Xero receives the invoice PDF plus up to nine receipts, then one merged supporting-documents PDF beyond that.
Sent from the app
Recipient pre-filled, subject and message in the client's language, PDF attached, reply-to your address. Each send is logged under the document.
Paid, from Xero
Paid or partly paid, with the date, read from Xero. A paid document cannot be edited or voided in NamaCor; credit notes are done in Xero.
Know
Finances, dashboard and audit trail
The numbers the owner wants every Monday, computed from what the team did last week.
Per-project finances
Revised contract, costs to date, invoiced, collected, margin to date and projected margin. Budget versus actual by category and by cost code, project cash position, monthly cash-flow chart, a watch list.
Portfolio view
Costs, invoiced and margin per active project, plus a portfolio line. Late invoices, drafts and unbilled disbursements surfaced.
Every Xero call, logged
Request, response, status and duration for each call. Failed jobs can be re-run from Settings. This is the accountant's audit trail.
Xero
The two-way sync, in detail
Direct API integration with Xero Accounting and Xero Projects, OAuth 2, a job queue with retries, and guards against writing to the wrong organisation.
Projects and tasks
When a project becomes active, NamaCor creates the Xero project (and the client contact if needed), one task per labour cost code, and a tracking option named after the project. Name, client, deadline and budget changes are pushed; closing archives the option.
Time entries
Approved hours go to Xero Projects in minutes on the right task, dated at noon Toronto time. Workers without a Xero account are recorded under a default field user with their name in the description.
Supplier bills with receipts
Draft or approved, your choice in Settings, one line at the subtotal with the document's exact taxes, the cost code's expense account, the project's tracking option, and the receipt attached.
Customer invoices with PDF
Lines with their revenue accounts, taxes allocated per line so totals equal the PDF, the PDF and receipts attached. Draft or approved, your choice.
Payments and settings back
Status, amount paid, amount due and paid date read on every worker pass (if older than ten minutes), nightly in full, on demand, and near real time through the Xero webhook.
Mapped to your chart
Tracking category, GST and QST codes for sales and purchases, exempt codes, default revenue account, cost codes to expense accounts, sales items to revenue accounts. Account codes are verified before each send.
Platform
Roles, security and languages
Built so that a field user can never see money, and so that your accountant can trust every record.
Owner, office, field
Owner does everything, including users, Xero and internal rates. Office runs clients, projects, quotes, costs, invoices, schedule and approvals. Field sees its projects, its hours, the log and the schedule.
Row-level security everywhere
Every table is protected by row-level security. Internal rates and frozen labour costs live in tables the field can never read. Xero tokens are stored encrypted.
Magic links and invitations
Sign in by email link or password. Team members and clients are invited by email; links are single-use and survive corporate link scanners.
French and English
Interface per user, documents and emails per client. Canadian formats for money and dates.
